Doctor of Philosophy Program Guide: Scheduling Exams

Timeline:
  • Five weeks is required for scheduling and completion of the exams.
  • Written and oral exams must be completed within a three-week period.
  • Written exams can only be taken after the Ph.D. Exam Committee has agreed to attend the oral General Examination and the Request for General Examination form has been signed.

Ph.D. examinations involve the Graduate School as well as the Department. Because of the Graduate School’s involvement, specific logistical procedures must be adhered to exactly. Scheduling of the oral General Examination and conveyance of results to the Graduate School can only be done by the Graduate Program Adviser, based on signatures of the Ph.D. Exam Committee on the Request for General Examination and the General Examination warrant.

Scheduling Exams. When the Ph.D. Exam Committee agrees the student is ready to take the Ph.D. exams, the student should contact the Graduate Program Adviser to schedule the written and oral exams.

The Graduate Program Adviser takes the following steps:

  • Discusses the entire exam process with the student;
  • Queries the Ph.D. Exam Committee (including GSR) about their availability for the oral General Examination;
  • Creates the Request for General Examination form and obtains approval signatures from the Ph.D. Exam Committee;
  • Conveyance of approval of the on-line request for the General Examination on the Graduate School’s MyGradProgram (only after receiving agreement directly to the scheduled time and obtaining the signature of each committee member on the Request for General Examination form);

The student is responsible for the following:

  • Communicating in an ongoing way with the Ph.D. Exam Committee regarding reading lists, rationales, etc.;
  • Obtaining the agreement from the Ph.D. Exam Committee that she/he may schedule the exams;
  • Assisting in obtaining signatures on the Request for General Examination from the Ph.D. Exam Committee;
  • Maintaining communication with the Graduate Program Adviser regarding exam scheduling and logistics;
  • Applying on-line through MyGradProgram for the General Examination (after a time for the oral exam has been set, all committee members have responded, agreeing to attend at the time set, and all committee members have signed the Request for General Examination).

The Ph.D. Exam Committee is responsible for the following:

  • Meeting with the student to ascertain her/his readiness for the exams;
  • Responding with scheduling information requested by Graduate Program Advisor;
  • Responding to announcement of the time set for the General Examination (orals), agreeing to attend at the time set;
  • Signing the Request for General Examination form, agreeing that the student is prepared for the exams and agreeing to the time set.

In addition to all of the responsibilities of the Exam Committee, the Committee Chair is responsible for the following:

  • Submitting written exam questions to the English Graduate Office 24 hours before the exam is taken.
